Building an actionable data retention schedule
A retention schedule turns vague promises into ownership and deletion processes.
List systems and records
Include billing, account records, customer support, marketing lists, server logs, backup copies and processor-held data.
Select defensible periods
Base periods on legal obligations and legitimate business requirements, not arbitrary defaults from a generator.
Define triggers and owners
A rule such as twelve months after account closure needs an actual closure date, responsible person and deletion method.
Test disposal and backups
Make sure the documented schedule can be implemented without compromising legal holds or operational recovery.
